All rentals are subject to set up and breakdown charges where applicable. Labor rates apply 6:00 am until 6:00 pm, Monday through Friday. 6pm until midnight is x 1.5 normal rates, and after midnight until 6am and public holidays are x2 the normal labor rate.
Terms
Prices listed are daily and subject to change without notice. Minimum rental period is one Calendar day. Damage or malfunction reported after the rental period is concluded, will be considered the customer’s responsibility. All prices are subjected to 22% Service Charge and Local State Taxes.
Additional specialized equipment is available. Please contact your Conference Services Manager if specialized or large quantities of equipment are required.
Additional A/V and Outside A/V Vendor Requirements
Ballantyne Resort recommends using its in-house Audio-Visual Department. If, however, you wish to bring your own A/V on property, the following requirements apply.

1. All screens need to have a minimum required LCD
so that all images are viewed clearly from the rear of the room.
· 6x6 requires 1000 Lumen Projector
· 8x8 requires 2000 Lumen Projector
· 6x8 Fast fold screen requires 3000 Lumen Projector
· 7 1/2x10 Fast fold screen requires 3000 Lumen LCD Projector
· 9x12 Fast Fold Screen requires 4000 Lumen LCD Projector
2. Rigging plans and all floor plans need to be submitted 2 weeks in advance for approval (review fees apply)
3. All rigging must be done by a certified rigger or have a certified rigger watching over the installation of all equipment.
4. All outside labor that is not affiliated with the outside vendor is to be contracted through the hotel AV department.
5. Because of the safety issues of objects overhead all rigging equipment that is to be installed in the ballroom needs to have certificate of inspection submitted to the hotel along with the rigging diagrams for approval, in order to use this equipment.
6. Because of trip hazards of Lighting Trees we require that all lighting be hung from truss.
7. There is a sound system patch fee associated with the use of all in house sound systems.
8. With large function events and to keep the flow of the event to the standards of the resort all projectors need to either be flown in the air or projected behind the screen.
9. Rear Projection requires that all screens be sealed off with pipe and drape from wall to wall.
10. In order to ensure that the outside A/V is set and operated to hotel standards and limiting damage to the meeting space, the hotel will require at least one liaison to be present at all times during the event.
11. The Ballantyne Resort requires all sound and lighting equipment, and the labor to install, operate and remove, and the hanging of any equipment from the ballroom ceilings be provided by the Hotel Audio-Visual Department for all functions on hotel property. Deviation from this policy must be approved by the General Manager.
12. Storage of equipment (i.e., A/V cases, shipping crates, etc.) will not be allowed in the Loading Dock, in any service corridors or stairwells behind the ballroom areas, or in any Ballroom space without written permission from Catering Sales department.
13. Storage space for outside A/V Companies will be the sole responsibility of the company. Ballantyne Resort will make every effort to secure space, once notification is given, but is under no obligation to provide such space. If space is available, the A/V vendor will be charged rack rate for such space.
14. Sound levels are to be appropriate for the contracted space and are not to interfere with activities of any other group. Actual meetings in progress take precedence over and sound check or rehearsal. Please respect any request regarding sound levels you may receive from hotel Management.
15. All sound will need to be ground supported, unless arrangements are made with the audiovisual department, to rent the hanging points as well as hire the labor to hang any items.
16. A $1500 service charge or 20% service charge will be applied to all audiovisual equipment that is brought in from any outside vendor, which ever is greater.
17. Certificate of Insurance verifying Commercial General Liability coverage with a minimum of $5,000.000 combined single liability per occurrence, and workers compensation coverage with a statutory minimum of $500,000 combined single limit of liability per occurrence must be provided by outside AV vendor at least 2 weeks prior to event.
